Who PtEverywhere is best for
PtEverywhere is practice software for physical therapy clinics, based in Cary, North Carolina, and started by physical therapists for their own clinic. It covers documentation, scheduling, payments, insurance billing, home exercise programs (HEP), telehealth and a patient portal in one subscription, with a focus on cash-pay, hybrid, concierge and mobile PT.
Best for
- Cash-pay and hybrid PT clinics selling packages, memberships and visits alongside insurance
- Solo therapists starting out, using the $49 Starter plan
- Clinics with several front-desk staff, since admin and receptionist users are free
- Therapists who want an AI scribe without per-note fees
Not ideal for
- Multidisciplinary clinics where occupational therapy, chiropractic or behavioral health need equal support
- Practices that want month-to-month telehealth and SMS without moving to the Pro plan
- Organizations that need published security certifications
PtEverywhere pros and cons
Pros
- Published pricing from $49 per month, with one therapist included and annual billing giving one month free

- Insurance workflow covers eligibility verification, claim submission with ICD-10 and CPT scrubbing, ERA auto-posting and denial management
- Superbills generated from signed notes for out-of-network patients

Cons
- Built for physical therapy only
- Telehealth, SMS, fax and premium integrations are only on the $199 Pro plan
- Insurance RCM is a $39 per therapist add-on that needs setup by the vendor's team
- Starter is capped at 20 visits per month
- No clearinghouse, BAA or security certification is named on public pages
PtEverywhere pricing
PtEverywhere publishes three plans, each including one therapist:
- Starter: $49 per month, up to 20 visits per month, AI Scribe and patient portal.
- Standard: $149 per month, unlimited visits.
- Pro: $199 per month, unlimited visits plus SMS, telehealth, fax and premium integrations.
Additional therapist seats cost $75 per month for seats 2 to 5, $60 for seats 6 to 10 and $50 from seat 11. Non-therapist clinical staff cost $39 per seat per month, and admin and receptionist users are free. The RCM add-on is $39 per therapist per month. Annual billing gives one month free. The vendor says it avoids long-term lock-in contracts.

HIPAA, security and integrations
PtEverywhere describes its data handling as HIPAA compliant and its telehealth as HIPAA-compliant, and shows HIPAA-secure labels. It does not publish details of a business associate agreement, hosting or third-party certifications such as SOC 2. Card payments run through Fiserv's CardPointe, which the vendor cites for PCI DSS compliance, and it lists role-based permissions and an audit trail. The vendor says its modules share one codebase, so scheduling, notes and billing do not depend on third-party connectors. It does not name a clearinghouse or accounting integration.
