How we review medical software

PracticeAll is a healthcare managed IT provider. We set up, connect and support the software that independent medical practices run on: EHRs, billing systems, dictation tools, phones and security. This directory applies that perspective to the question practices ask us most often: which product fits a practice like ours, what will it really cost, and what will it take to run?
What every review covers
Each product page has a short verdict, who the product is best for and not ideal for, pros and cons, pricing, key features, HIPAA and integration details, alternatives, frequently asked questions, a key facts table and the sources we used. We evaluate every product against the same criteria:
- Fit for the practice. Practice size, specialties and care settings the product is actually built and sold for, based on the vendor's own positioning and customer base.
- Total cost and pricing transparency. Published prices, what each plan includes, setup and onboarding fees, contract terms, and whether pricing is quote-only.
- HIPAA, security and compliance. Whether the vendor states HIPAA compliance and signs a Business Associate Agreement (BAA), and certifications it publishes such as SOC 2, HITRUST or ONC Health IT certification.
- Integration and interoperability. Which EHRs and systems it connects to, how (API, HL7/FHIR, browser extension, OS-level typing) and how much manual work remains.
- Implementation and IT burden. Cloud vs. on-premise, hardware needs, onboarding time and the ongoing IT work a small practice would carry.
- Support and vendor stability. Support hours and channels, onboarding help, ownership changes, rebrands and product retirements.
What we look at in each category
- EHR & EMR: ONC certification, specialty templates, e-prescribing and EPCS, patient portal, lab and billing integration.
- Practice management: Scheduling, eligibility checks, claims workflow, reporting, and whether it pairs with your EHR or replaces it.
- Medical dictation & AI scribes: Ambient vs. dictation vs. human transcription, how notes reach the EHR, specialty vocabulary, audio retention and BAA terms.
- Billing & RCM: Software you run vs. outsourced billing service, clearinghouse, denial management, and percentage-of-collections vs. subscription pricing.
- Patient engagement: Reminders, two-way texting, intake, reviews and payments; consent handling and what message content reveals.
- Telehealth: Video visit workflow, BAA availability, EHR and scheduling links, and whether it is software or a care-delivery service.
- e-Prescribing: Surescripts connectivity, EPCS (DEA-compliant controlled-substance prescribing), medication history and standalone vs. embedded use.
- Compliance & security: What the tool actually does (risk assessment, policies, training, secure messaging, endpoint security) and whether it fits a small practice.
Where our facts come from
We verify facts against the vendor's own website first: pricing pages, product documentation, security and trust pages, and press releases. Where a vendor does not publish something, we may use credible secondary sources such as reputable trade press or software marketplaces, and we label those figures as estimates. Prices shown with a “~” are third-party estimates; “Contact for pricing” means the vendor only quotes on request.
Every review lists the sources it relies on and shows the date its facts were last verified. A HIPAA badge appears only when the vendor itself states HIPAA compliance or offers a BAA. Claims about accuracy, savings or results are attributed to the vendor, not stated as our findings.
What our verdicts are, and what they are not
Verdicts are our editorial assessment, based on vendor documentation, public information and our experience supporting practices. Unless a review says otherwise, they are not the result of a structured hands-on test of the product. Software changes quickly, so confirm pricing, features and contract terms directly with the vendor before you buy.
How often we update
We re-check pricing and key facts regularly and update pages when products are renamed, acquired, repriced or retired. Products that are not medical software, or that no longer fit the practices this directory serves, are removed. The “last verified” date on each page tells you when its facts were last checked.
User reviews
Healthcare professionals can review products they use. Reviews are held for moderation before they appear. Through our reviewer reward program, verified healthcare professionals who submit an honest review with proof of use (identity confirmed by a LinkedIn profile or work email, plus three screenshots of the software) can receive a $20 Amazon gift card. Star ratings shown on the site come only from these user reviews.
Sponsored listings and vendor updates
Some vendors pay for sponsored placement. Sponsored listings appear first in category lists and carry a “Sponsored” label. Vendors can also claim their listing to keep product information such as screenshots and descriptions current.
