Who Hello Patient is best for
Hello Patient is an Austin-based company, founded in 2024, that builds AI agents for patient conversations. Its front desk agent, called Mia, answers inbound calls, texts and web chats, books appointments into the practice's EHR, takes refill requests and hands anything clinical or out of scope to staff. The same platform also runs outbound recall, post-visit follow-up and billing conversations. Customers named on its site include Carbon Health, Piedmont Urgent Care, Pulse MD Urgent Care and Ortho1 Medical Group, and Privia Health lists it as an approved vendor for its care centers.
Best for
- Multi-location medical groups and urgent care chains with high call volume
- athenaOne practices that want an AI agent to write appointments straight into the schedule
- Groups that want inbound answering and outbound recall from one vendor
Not ideal for
- Solo practices that want self-serve signup and a published monthly price
- Practices that need on-call provider paging for after-hours clinical calls
- Offices that want to be live within days rather than weeks
Hello Patient pros and cons
Pros
- Books, reschedules and cancels directly in the EHR, and can create new patient records
- Native athenaOne integration that follows the practice's slot rules, including across locations
- Voice, text and web chat, inbound and outbound, 24/7
- SOC 2 Type 2 report (received June 2026) and a BAA signed with every client
- Says patient data is not used to train AI models, and every conversation is logged
Cons
- No published price; pricing is usage-based and quoted
- Most clients take about six weeks to go live, six to eight weeks on athenaOne
- English and Spanish as standard; other languages only on request
- No published on-call rotation or provider paging for urgent after-hours calls
Hello Patient pricing
As of November 2026, Hello Patient does not publish prices. Its FAQ says pricing is usage-based and scales with conversation volume across voice, text and web chat. The Privia partner page says pricing is sized to the number of locations, patient volume and services enabled, and Privia care centers get a network discount. There is no free trial or self-serve plan listed. Ask for a quote that shows the cost per conversation or minute, any setup fee, and the contract term.
Key features
- Inbound answering on phone, text and web chat, 24/7, including overflow during busy periods
- Scheduling in the EHR: reads live calendars, books, reschedules and cancels, and respects provider rules, visit types and location hours
- New patient intake: creates patient records and logs call details in structured EHR fields
- Refill requests: verifies the patient, captures medication and pharmacy, and routes the request to the prescriber without making clinical decisions
- Insurance questions: answers coverage questions, though the agents do not verify insurance
- Escalation: clinical questions and complex cases go to a person with context attached; the agents do not give medical advice
- After-hours options for urgent care: book the visit, or send a structured message to voicemail, a ticket or an answering service
- Outbound campaigns for recall, annual wellness visits, lapsed patients, care gaps, referrals and billing
HIPAA, security and integrations
Hello Patient says it is HIPAA compliant and signs a business associate agreement with every client, with no account created without one. It received a SOC 2 Type 2 report from an independent auditor in June 2026 and shares it on request during security reviews. It says every interaction is logged, encrypted and kept in an audit log, and that patient data is not used to train AI models.
The deepest integration is with athenaOne, where agents read calendars and patient records and write back appointments, new patient accounts and notes. The FAQ also names eClinicalWorks, ModMed, NextGen, AdvancedMD, Veradigm, Ottehr and Pulse, plus CRM and marketing tools such as Salesforce, HubSpot, Zenoti, Braze and Klaviyo. Direct integrations use FHIR and HL7, and there is a public API. Systems without an API can be connected through CSV exports or a custom build.
