Pricing and plan structure

SimplePractice sells three solo tiers: Starter at $49, Essential at $79 and Plus at $99 a month. Lower tiers drop features: Starter has no secure messaging, sends reminders only for telehealth visits and limits note template customization. Only Plus lets you add team members. TherapyNotes has one feature set for everyone and prices by headcount: $69 a month for a solo user, or $79 for the first clinician plus $50 for each additional clinician in a group, with unlimited non-clinical staff. Both offer a 30-day free trial. For a group, compare carefully: SimplePractice Plus charges $74 per added clinician for groups of two to five, $72 for six to 15 and $69 for 16 or more.

Insurance billing costs

Both charge per transaction for insurance work. As of October 1, 2026, SimplePractice charges from $0.39 per submitted claim on every plan, with lower rates at higher volume, and ended the free claims that Essential and Plus used to include. An optional Insurance Navigator upgrade, listed as coming soon on the pricing page with a waitlist for a 30-day trial, starts at $1.79 per claim and adds benefit verification, an AI claim assistant and phone access to insurance specialists. TherapyNotes charges 14 cents per electronic claim, 14 cents per claim in an ERA and 14 cents per eligibility check. At the published starting rates, a practice sending 100 claims a month pays about $39 at SimplePractice and $28 at TherapyNotes, including ERAs.

Telehealth, AI and prescribing add-ons

Telehealth is included on every SimplePractice plan, with group telehealth on Plus. TherapyNotes includes basic telehealth for two participants; Premium Telehealth, with up to 16 participants and HD video, is $15 per clinician a month. For AI documentation, SimplePractice sells Note Taker at $35 a month or Care Aide at $59 for the account owner plus $49 per additional clinician. TherapyNotes sells TherapyFuel at $40 per clinician a month. ePrescribing costs $49 a month plus an $89 setup fee at SimplePractice, through DrFirst, and $65 per prescriber a month at TherapyNotes.

Client experience and marketing

SimplePractice includes a Professional Website and a Therapy Finder directory listing on all plans, plus online appointment requests. The Plus plan adds an appointment request widget for an outside website. TherapyNotes includes a custom client portal for paperwork, appointment requests and payments, along with free TherapySearch directory profiles. Practices that market themselves online may get more from SimplePractice's bundled tools.

Support and mobile access

TherapyNotes lists 24/7 phone and email support and free client data import from another EHR on every plan. SimplePractice reserves its premium support phone line for the Plus plan. On mobile, SimplePractice offers a clinician app for iOS and Android. TherapyNotes Mobile is a companion app for schedules, the client directory and secure messaging, and it sends you to the website for notes, billing and telehealth.

Which should you choose?

The choice usually comes down to how much insurance you bill and which SimplePractice tier you need. Compare SimplePractice Essential or Plus, not Starter, against TherapyNotes, since Starter leaves out features most practices use.

Choose SimplePractice if:

  • You are solo and mostly private-pay, so the $49 or $79 tier covers your needs
  • You want a practice website, directory listing and online booking in the same subscription
  • You want group appointments and group telehealth, which come with the Plus plan

It depends on your payer mix. A private-pay solo therapist can run on SimplePractice Starter at $49 or Essential at $79 a month and gets a website and directory listing. A solo therapist who bills insurance often pays less overall with TherapyNotes at $69 a month, because claims, ERAs and eligibility checks cost 14 cents each. Both offer a 30-day free trial, so test your actual workflow first.

How much more does TherapyNotes cost than SimplePractice?

At list price, TherapyNotes Solo is $69 a month, $20 more than SimplePractice Starter but $10 less than Essential and $30 less than Plus. For groups, TherapyNotes charges $79 plus $50 per added clinician, while SimplePractice Plus charges $99 plus $74 per added clinician for groups of two to five, falling to $72 and then $69 for larger groups. Do SimplePractice and TherapyNotes integrate with other EHRs?

Neither publishes integrations with medical EHRs such as athenahealth or eClinicalWorks. SimplePractice connects to DrFirst for ePrescribing and syncs with Google, Apple and Outlook calendars. TherapyNotes can send basic encounter data to two state health information exchanges, in North Carolina and Connecticut. If you share patients with a primary care practice, plan on exchanging records by secure fax or messaging.

Do SimplePractice and TherapyNotes sign a BAA?

Yes. SimplePractice includes its business associate agreement in the terms you accept when you create a trial account, and you do not sign it again when you upgrade. TherapyNotes built its BAA into its Terms of Service effective April 23, 2026, so a separate signature is no longer needed. Both vendors say their platforms are HITRUST certified.

Can I switch from SimplePractice to TherapyNotes?

Yes. TherapyNotes offers free client data import from another EHR on every plan, and you can test it during the 30-day free trial. Export your client list, notes and billing history from SimplePractice first, and confirm which records TherapyNotes can import. Running both for a month while claims settle avoids gaps in billing.
